We partner with Lake Geneva Fairfield Inn & Suites for a room block and promote that it is the preferred place to stay. Last year we had racers come in from 12 different states. We host a pre-party the evening before so racers can pick up their race packets ahead of time and spend time with Yeti and the community. This year, we will also be adding a post race party/brunch on Sunday to encourage racers to stay an additional night in Lake Geneva. 6) How did you or your organization calculate the estimated number of overnight stays to be generated by your event? We do a post race survey after each event and one of the questions we ask is if they stayed overnight and if so, where did they stay. 7) Any other helpful information Each race we also raise funds for the Lake Geneva Food Pantry and we share and promote things to do around Lake Geneva to encourage people to stay and play and show some of the fun things to do around the city. Page 23 of 32 DRAFT Tourism Promotion Grant Program Changes - Updated for August 18, 2026 Meeting Page 1 of 3 CHAIR COMMENTS This document takes the grant program changes proposed in July and focuses on the core change rather than comparing it with the current full Tourism Grant Application and Materials document, which also contained introductions, the application, and the post-event/reimbursement form – all of which will be updated based on any decisions or actions taken by the Tourism Commission on the Tourism Promotional Grant Program. In addition, this document outlines a revised and more efficient application process. Changes from the July meeting are in red. Values in yellow highlight are placeholder values for discussion. TOURISM PROMOTIONAL GRANT PROGRAM CRITERIA 1. The main event must take place within a 10-mile radius of the Lake Geneva City Hall. 2. Event grants are limited to three years. 3. Event application must demonstrate the event is reasonably likely to generate paid overnight stays at establishments within the City of Lake Geneva. 4. The commission prefers methods for tracking room nights generated by your event. It is highly recommended to work with area hotels to provide a way for them to track rooms booked through your event, even if they are not discounted or special-rate rooms. Most hotels can create special codes for rates, promos, or tracking. (Combined 3, 4, and 6 from last month’s draft. Commission to review sub bullets a and b, which may be redundant, and be able to be combined.) a. Discounts and packages must be offered with at least ___ number of hotels within the City of Lake Geneva. These discounts/packages must be in place at least 60 days prior to the event. b. Written support from at least two establishments that collect room tax for the City of Lake Geneva, each from a separate owner, must be submitted with the application. 5. Grant amounts must be used for direct marketing of the event and for overnight stays in the City of Lake Geneva and not for general marketing that does not promote overnight stays in Lake Geneva. While not an exclusive list, grants may not be used for: (The list to be discussed and decided by the Commission) a. Staffing b. Promotional swag/giveaways c. Banners and signage used for the day of the event or the days immediately surrounding the event. Banners/signage must be used to promote events in advance that have the likelihood of generating overnight stays. d. Transportation e. Marketing that doesn’t promote hotels/overnight stays within the City of Lake Geneva. Page 24 of 32 DRAFT Tourism Promotion Grant Program Changes - Updated for August 18, 2026 Meeting Page 2 of 3 TOURISM GRANT PROGRAM AMOUNTS The total amount available for Grants will vary by year based on the expected Room Tax proceeds and the budget approved by the Commission. The cap amount of individual event grants is determined as follows, based on: 1. When the event takes place (Peak/non-peak will be determined by the Tourism Commission annually for the upcoming year.) 2. Where a significant part of the event takes place a. In City - At least 50% of the event takes place in the City of Lake Geneva. b. Neighboring – All other events that meet the program criteria outlined above. i. A grant must be obtained from the community where the event is taking place if that community has a grant program. Event Season/Location Year 1 Year 2 Year 3 In City Peak $10,000 $6,500 $4,000 In City Non-Peak $20,000 $13,000 $8,000 Neighboring Peak $4,000 $2,600 $1,600 Neighboring Off Peak $10,000 $6,500 $4,000 SIGNATURE EVENTS (BUDGETED) 1. The event must have been ongoing for at least the last __ years and have received prior Tourism Commission Grants. 2.
