Administrative Report for mid-July 2026 to mid-August 2026
General
Facilities
The library’s new electronic lock system is installed and working. Director Claringbole has
been trained on the new scheduling system and setting up fobs for staff.
The lower-level HVAC project has started. The lower-level entrance to the library is still
accessible, which means patrons can still use the library parking lot and enter the library.
Both the stairs and elevator are available to reach the upper level, and the Friends of the
Monona Library’s bookstore is still available. The Meeting Rooms – Forum Room, Municipal
Room, Board Room – are no longer available to the public or library staff. All four (4) lower-
level restrooms are also unavailable for the remainder of the project.
The library is communicating with the City and volunteers to see what can be done
regarding the landscaping around the library. The City continues to mow the lawn around
the building, trim weeds around the same area, and trim trees. Volunteers have been
helping maintain the gardening beds that surround the building.
Circulation Supervisor
Director Claringbole is holding interviews for the circulation supervisor, and hopes to offer
someone the position by the end of August.
Capital Budget
For the capital budget Director Claringbole is moving forward with the two project
proposals that was briefly introduced to the library board last month: new self-check
kiosks to replace the units that the library currently has, which have been starting to
degrade and need more and more maintenance; and a new circulation desk, with the
possibility of a new youth services desk depending on cost.
Library Merchandise
There will be a two week window where the public can purchase library shirts and hoodies
and bags! This window is August 16 - 30. The public will be able to purchase these items
11/33
that have the Monona Public Library logo on them. Depending on how sales are, the library
may have another opportunity to sell shirts at a future date.
Parking on Schluter Road
Director Claringbole is looking at improving parking on Schluter Road in 2028-2029. This
would involve bumping the curb towards the building on the section that juts out into the
road so the curb is a straight line, and then marking parking spots in the road, including
establishing a new delivery spot and putting a handicap space by the Schluter Road
entrance. This would coincide with the anticipate Nichols Road project in 2029.
Adult Services
July
For July, the Adult Department welcomed a new volunteer to host the tech tutoring
appointments. Tech tutoring has been paused for a while, but patrons quickly signed up for
the current offerings. The new volunteer has had very positive reviews.
Otherwise, we hosted a presentation about the history of Black Ash baskets, one about
Midwest history and tourism, and Eco-Action had a presentation about composting.
Due to the HVAC project, some of our upcoming programs have had to find new locations,
but thanks to our friends at the Senior Center and at Park, so far everything is working out.
Coming up we'll have presentations about the history of Puerto Rico, estate planning, and
the golden age of TV. Planning for the end of the year is still underway.
Youth Services
• This July has been full of joyous programming, strong numbers, and unfortunately a
few program cancellations due to smoke conditions and weather. However, the
summer has galloped right along as it always does and our Summer Reading
Program Participation has been stellar.
• We will do a more thorough writeup of or Summer Reading Statistics come August's
report, but we are happy to share the following data:
12/33
o 2026 Registration: 1,621 | 2025: 1,543
o Completion Rate 2026: 65% | 2025: 63.1%
• Program numbers and turnout have been excellent. Crescendo's coffee cart being
here on Tuesdays has been a huge hit—we even had 120 here in person for a
storytime!
• We are still continuing to work on strategies with challenging interactions with the
public; we are brainstorming different ways to ensure clarity of rules for families
when they are visiting our library space—primarily for safety and following library
policy, which will ensure a positive experience for all.

4. Prepared By: Ryan Claringbole
5. Project Description/Justification (briefly indicate the size, location, type of projects
or purchases, and time schedule involved in implementation.)
The library is looking at replacing all three (3) of its self-check circulation machines. The
current machines were installed in 2020. The machines showed signs of breaking down in 2024,
with frequent issues with the printer and freezing of monitor. In consulting with other libraries in
the area, it was discovered that the model that the library has is prone to breaking down
prematurely. Other libraries recommend Bibliovation’s newer model, which shows very few, if
any, service breakdowns. The stand-alone models also allows us to add a payment add-on, which
will allow patrons to pay for any fees with a credit or debit card, which the library currently is
unable to do.

1. Project Name: Forum Room Sound System

3. Requested By: Ryan Claringbole
4. Prepared By: Ryan Claringbole
5. Project Description/Justification (briefly indicate the size, location, type of projects
or purchases, and time schedule involved in implementation.)
The Forum Room in the library is the main place for large programs and events at the
library, for both library staff and the public. There currently is a projector and projection screen, but
no dedicated sound system. Library staff have received complains in the past that it can be difficult
to hear in the room because of this. This project would add two (2) Shure wireless microphone
systems to the room, as well as a handheld mic and handless set. The system would also allow for
devices to plug in via an HDMI cable, so if a presentation is on a laptop that requires sound, the
sound will come through the speakers.

Thank you for giving us the opportunity to provide you with solutions to your audio-visual
system needs. Below you will find our proposed system design for your project. We take
great pride in the work we do and the clients we work with. We are looking forward to
working with you.
System Design
Design Notes: The system design is a preliminary design, provided to establish a basic
budgetary solution for the completion of the project. This estimate is not turn-key, and does
not abide by our usual 30 day price guarantee, as it is to be supplied for internal discussion
only. The needs of the space outline the design parameters and requirements. The
multi-purposed space is consistently used not only internally, but also for external
community rentals. It should function for audio/video playback, speech presentations, as well
as light musical performances.
Base System: For speech applications, two Shure wireless microphone systems have been
specified, a simple handheld microphone, and a beltpack microphone, with the addition of an
earset mic. This allows for both the presenter to have a preference of which mic they’d prefer,
as well as have both mics used simultaneously if required. In addition, a media player has
been specified that allows for Bluetooth, CD, USB, and aux input. Utilizing the projector
audio output, the audio system will provide audio reinforcement for videos played via the
video system. For live performances, a mixer input will be provided at the rack location for a
performer-supplied mixer to interface with the loudspeaker system.
The base loudspeaker system will consist of a main left and right loudspeaker. The speakers
offer a wide pattern for the wide nature of the room. This will provide audio coverage in even
and consistent quantities. The speakers will be surface mounted vertically, to the left and
right of the proscenium wall.
The required amplification and processing is included, as well as a simple three button
controller for input selection and volume control. All necessary wiring, parts, and labor has
been included, as well as power sequencing for rack based equipment, and a new equipment
rack.
BASE SYSTEM BUDGETARY PRICE: $17,500.00
ADD OPTION #1 – Subwoofer
Consider upgrading the base system above to include a subwoofer that will extend system
frequency response, adding impact to audio playback, and better replicating the frequency
spectrum when required. Pricing valid if completed at the same time as the base system
installation.
ADD $2,500 to the base price above, pricing only valid if completed at the time of the base
system.
*Client responsible for electrical requirements at rack location

exceed that warranty and fall under the warranty that is specified by the individual
manufacturer.
The entire system will be installed in accordance with all applicable codes, regulations, and
restrictions. Accepted professional standards for proper installation shall be adhered to
throughout.
All wiring will be properly labeled and documented. Wiring will be properly fastened and
neatly dressed. Audio lines will be isolated by category according to signal level, and all
audio lines shall be isolated from AC power wiring where possible. As-built drawings and
copies of the manufacturer’s operation manuals shall be bound and provided to the customer
upon completion of the system installation. One thorough training seminar for customer
personnel will be conducted.
This proposal is for the sole use of the named client. It is not to be put out for bid or used in
the preparation of a bid unless the expressed written consent of Peak Systems Group, Inc.
states otherwise.
