Administrative Report for mid-June 2026 to mid-July 2026
General
Facilities
The library suffered HVAC issues in late June, with the issue being components broken in
RTU 5, which services the Children’s area and all staff offices. Staff put out all the fans that
were in the building to try and maintain as comfortable an environment as possible while
Brad Bruun and Kris Notstad, City staff, worked with JM Brennan to find a solution. The
issue was resolved after three days.
While up on the roof, City staff pointed out to Director Claringbole how the water is pooling
on the roof, as well as cracks in the membrane. This is further proof that the library roof
needs to be replaced as soon as possible to prevent severe leaking into the library and on
library equipment and materials.
In early July, the automatic door opener for the lower-level doors of the library. Staff had to
wait a couple days for a contractor to come look at the issue and propped the outer doors
to make certain the entrance was ADA accessible. It turns out that the transister in the
opener and the open buttons had to be replaced, and on the other door the automatic door
closer was leaking, which meant it had to be replaced. Both of these were done with the
contractor onsite. The contractor also suggested at some point in the future that the entire
door system in the lower-level doors will have to be replaced. Director Claringbole
questioned if it’s worth changing the parts if the whole thing will eventually need to be
replaced, and the contractor explained that the parts and the unit are separate, so there is
no savings in doing it all one unit vs as needed in parts.
Landscaping
Director Claringbole has received some negative feedback regarding the conditions of the
library grounds. The library budget landscaping line item was reduced last budget cycle for
higher priorities, and the results have been noticeable. Director Claringbole is working with
local Master Gardner’s who are volunteering their time to beautify the grounds, but
admittedly this will not address some of the issues. Director Claringbole is also working
with the City facility staff to trim some of the trees and do more clear-cutting of weeds and
plants in certain areas (ex. By the sign on the corner of Nichols and Schluter).

Friends of the Monona Library
The Friends of the Monona Library have new leadership, with Allison now serving as Friends
Board President. The Library wants to thank former President Andrea for her dedication
and hard work to help make the Friends what it is today!
The Friends also discussed strategies to increase fundraising, with some concern
regarding increasing costs and expenditures due to inflation. There is also a focus to
increase awareness of the Friends in the Monona community.
Strategic Plan
Director Claringbole contacted Rachel Arndt that the Board approved moving forward with
the strategic plan. Director Claringbole signed the contract that was shared with the Board
last month, and will be setting a start date, along with all milestone dates sometime in the
next couple of weeks.
Circulation Supervisor
Alice, the library’s circulation supervisor submitted their resignation to pursue other
ventures. The library wants to commend Alice for their 4+ years helping change and shape
the circulation services of the library. Staff will miss their enthusiasm and abilities to
analyze challenges and find solutions. Director Claringbole will discuss with the Library
Board on posting and filling the circulation supervisor position in the next 4-8 weeks.
ILS Migration
SCLS is holding a town hall conversation with library directors and staff to discuss the
option to see if it is necessary to remove reading history on patrons account prior to 2020
to help the new SirsiDynix system not be overloaded with data. Director Claringbole is in
favor of making this move as the daily operations would be improved and any freezing or
delays would be reduced, theoretically. The biggest questions are 1) will it truly work as
theorized, 2) if it is up to each library to decide which libraries will do it or will it be system
wide, 3) how much time is necessary to message patrons that this is happening so patrons
who want to export/copy their history can do so.
Capital Budget
13/27
For the capital budget Director Claringbole is moving forward with the two project
proposals that was briefly introduced to the library board last month: new self-check
kiosks to replace the units that the library currently has, which have been starting to
degrade and need more and more maintenance; and a new circulation desk, with the
possibility of a new youth services desk depending on cost.
Library Merchandise
The Library is looking at making it possible for members of the public to purchase t-shirts,
hoodies, and other items with the library logo on it via a commerce website. This comes
from the many positive comments and inquiries for purchase from patrons to staff on the
library shirts that staff will wear in the library or at events. When this is finalized the Library
will message out to the public that the merchandise is available for purchase.
Adult Services
June
In June, we hosted a presentation about naturalizing outdoor spaces using native plants
with a local Master Naturalist, as well as a historical presentation about women in WWII.
Eco-Action Tuesdays had a panel discussion about single-use plastic. Our interest groups,
book clubs and fiber arts group, also continue. The monthly craft night was rescheduled
due to weather.
Outside of programming, we had some renewed interest in volunteering! We had several
new applicants interested in assisting with shelf reading and with programs. Erin met with
these folks to gauge interest and discuss opportunities. One started in June, another may
start in July.
We also hosted a traveling exhibit of on the history of the Ho-Chunk Nation for a couple of
weeks. These banners were created in partnership by the Village of Waunakee, UW-
Madison, and the Ho-Chunk Nation.
Programs are scheduled through fall, and include an educational presentation about
retirement, historical presentations, and several more Eco-Action Tuesdays.

Youth Services
• So far for Youth Services, it has been a fantastic summer. We have great
programming lineups, lots of visits, and great participation as usual in our Summer
Reading Program. We also have had the pleasure of having Maryn back as our Youth
Services Library Assistant and she has been doing a phenomenal job.
• Main highlights:
• We have 1,453 registrants for our Summer Reading Program in Beanstack. While
last year we had around 1500 total registration for the program, this was likely
higher due to the Sun Prairie closure and experiencing higher volume than usual. In
2024, our registration total was 1,311. So though we are down, we are actually up
without the circumstance of Sun Prairie being closed.
• Due to heat advisories at end of June/early July we needed to reschedule some
programs for August/September.
• One of our Teen Volunteers will be partnering with us for their gold award project.
We will be working on a special project in the early reader section come fall.
• Program participation has overall been excellent. Off site programs have been some
of our biggest hits, story & play with Crescendo has been a hit, and Scoops
continues to be an incredible partnership. Program-based checkouts off-site and
on-site have been excellent.
