Administrative Report for mid-April 2026 to mid-May 2026
General
Facilities
Kris our City facilities person has been trying to determine the cause of one of our major
leaks in the ceiling. It has caused staining on one of the ceiling tiles a few times. Kris found
the reason for the leaking and was able to provide a temporary/ongoing solution to it. The
roof leaking is an ongoing concern.
The HVAC project is moving forward with a tentative schedule of September through
December. The engineers were able to find air handling units that will fit the existing
footprint. The goal is as it was, to have the lower level closed (past the elevator) to the
public. The lower level entrance, the Friends bookstore, and the elevator will still be open
to the public during the project. The Meeting Rooms will be inaccessible to the public, to
the City, and to the library for programming. We are working with the crew to make sure
there is a path to the back storage workroom.
The new electronic locks are being installed currently. There is not a set date for
completion, but the library is the first facility to be worked on, and after the library City Hall
and the Community Center will be up next. Once the new locks are installed in all
buildings, Director Claringbole will be trained on the new software and the electronic locks
will be live.
Strategic Plan
Director Claringbole talked with Rachel about the upcoming strategic plan to be done. The
new proposal is in the packet.
Billboard
There is a new billboard overlooking Hwy 12/18 and the City is able to have a few billboard
advertisements displayed on it. The library will have one of those advertisements! We will
have a graphic promoting our Concernts in the Park, which is a 3-program series during the
Summer Reading Program. The ad will be displayed on the billboard June 17-July 1.
Weekend Hours
11/38
11/38
Director Claringbole is still gathering the data on weekend visits at the library, as well as
the weekend hours of libraries in the area and similar sized libraries. There will more
discussion on if there will be any changes to the weekend hours at the library during next
month’s Board meeting.
ILS Migration
We continue to do our best servicing our patrons with item checkouts with the new ILS.
They are still working on the circulation data, but feel confident to share the total numbers
per month with the libraries. Here is an explanation from SCLS regarding data quality: 1)
We had a couple libraries report problems with circulation counts on the daily overview reports
for the post-migration week (4/13 ~ 4/20). There were two things going on: 1) an unusually high
number of transactions that were related to the data migration process and likely represented
something like records of pre-migration circs, and 2) offline circulation data was not properly
loaded into BlueCloud Analytics. We found a way to filter out the data for issue (1), and issue (2)
was eventually resolved after contacting SirsiDynix. So far, so good for the daily overview and
hourly reports.
2) Issue 2 is a problem with the transaction data loaded into BlueCloud Analytics. We found that
certain specific transactions were imported without the item id data. This causes multiple
problems when trying to extract the data from BCA, because we can't link the transaction data to
other item-related data such as item type, collection code, etc. We made SirsiDynix aware of this
in April. The most recent update I have from them this week is that it seems to be a bug with
transactions completed using the mobile app, and there is no immediate fix available.
Unfortunately, a good chunk of the standard monthly reports we usually post to the website rely
on these types of circulation data extracts, and without those we haven't been able to run the
report generating scripts. At this point, we can do circulation counts, but we can't really do
specific breakdowns such as circ by collection code, circ by PSTAT, etc. I'm just starting to
explore possible workarounds, but it will take time to set those up, and I don't have a good sense
of when those might be ready.
Fish Tank
Director Claringbole is still working on getting quotes for the fish tank. In the packet are a
couple of the quotes for the large fish tank that would come out perpendicular from the
wall with a length between 8’-9’. There have been some comments regarding the size of the
tank, and Director Claringbole is looking at other options, while also noting that there has
been positive public input when the project has been shared with patrons.
12/38

Google vs. Microsoft
Library staff used to use Google Business Suite for internal communications and file
sharing. A couple years ago Google changed their pricing model, and the library migrated
to Microsoft. Director Claringbole is getting quotes on moving back to Google after
consulting with staff
Capital Budget
The capital budget is due to the City in August. For the 2027 year Director Claringbole is
recommending funding to get new service desks (circulation and youth services), as well
as funding to complete the aquarium area with the majority coming from donation dollars.
Adult Services
May
In Adult Services for May, we hosted our usual interest groups, plus the second of our
community mending circles. We also had what might be our final Memory Screening for a
bit, as we are unable to schedule more with our community partners. But we should
hopefully be able to schedule more in 2027.
Beyond programming, Erin attended an all Adult Programmers meeting at the Oregon
Public Library to meet with other library workers and exchange ideas in early May. She also
attended a Beyond the Page Equity teams meeting at the end of May for an end of the year
discussion. The group brings in library workers from all over the county. They spent their
time going over some of their major themes for the year, censorship, and deciding on
something to focus on for next year, which will be something around AI.
Looking ahead, Summer Reading is ready to go. For programming, we’ll have an author in
to talk about the history of the Midwest along with some fun destinations to stop at
throughout; which sounded fun for the summer! And then in August, we have Dr. Jorell
Meléndez-Badillo coming in to present on the history of Puerto Rico, a Beyond the Page
program, as part of their Beyond 250 Series.
13/38
13/38
Youth Services
Summer is in full swing!
• Truck fest is coming up and we have 24 trucks this year! We are excited to run this
event again!
• We are already up by 100 in registration for our Summer Reading Program
• Summer outreach was conducted at Cottage Grove elementary schools (4K-2nd
grade), Winnequah Elementary, Monona Grove High School, Glacial Drumlin,
MG21, and new this year: La Follette. Angelika has also hit up several daycares and
registered groups to participate in the summer reading program
• Lots of big, exciting programs this summer coming up!

City of Monona is in the midst of a Comprehensive Plan re-write. Summer and Fall 2026 will have a
community survey, analysis and writing, and an open house with follow up survey. How might this
impact the library’s ability to gather data through surveys and listening sessions. RC may be able to

Library Survey
What is critical to know?
• Current weekend hours are Saturdays 9-5 and seasonal Sundays 1-5 Labor Day to Memorial
Day. Challenges: lean staffing model prevents breaks and does not schedule a PIC. Examine
other options or models for weekend service. Investigate if other hours could serve the needs
and support different staffing configuration.
o Usage stats (door counts, programs, tech/wifi usage, meeting room). Hourly study?
o Survey responses
o Staff / board feedback
• Gauge satisfaction (collections, facility, programs, customer service)
• Perceived value (ROI services, collections, facility)
• Library awareness
• Community aspirations, community engagement
• Municipal, financial support

This is a proposal for a custom aquarium installation at the Monona Public
Library, 1000 Nichols Rd, Monona , WI 53716. This proposal was created by Brooke
Erickson on behalf of 8 Arms Aquatics LLC, Madison WI. There will be multiple parties
involved to complete this aquarium project.
The aquarium design discussed is a rectangular, peninsula style structure to be
constructed in the current aquarium location. Patrons will be able to view the aquari-
um inhabitants through the two large 96” x 36” opposing panels. The short/non-view-
ing ends of the aquarium will be utilized for the aquarium mechanicals. The new
aquarium will rest on a custom stand structure built from framing lumber. Once the
stand structure is built, the aquarium and aquarium life support equipment will be
installed by 8 Arms Aquatics. This quote is for an operational aquarium install without
/f_inished cabinetry. The wood framing structure will still be visible. A cabinetry contrac-
tor will be needed to coordinate with 8 Arms Aquatics for effective cabinetry /f_inishing,
while still allowing for maintenance access.

22/38
Aquarium Stand Structure
The stand structure immediately under the aquarium will be over built. It will be
made with 2x6 framing lumber and will be able to hold 5,000 lbs, the weight of
the aquarium full.
The tall side walls that bookend the aquarium will be 30” wide and approx 12“
deep to allow for sizable plumbing to pass through. The framing will be aligned
/f_lush with the glass viewing panes, which will allow the cabinetry /f_inishing to
“lap” and conceal the edges of the aquarium on all sides.
Long joists will span the bookend walls to enclose the space above the aquari-
um, allowing the lights to be hung and eventually hidden once the cabinetry is
installed. The space above the aquarium or “canopy” is currently planned to be
30 inches tall (including joists), which is just adequate for the lighting. This
space could be enlarged if desired for design aesthetic.

The two large viewing panes will be made of low lead glass for optimal viewing.
The short ends of the aquarium will be covered by black vinyl and black over-
/f_low plumbing. The empty aquarium weight is 900 lbs.
Life Support System
The /f_iltration system will comprise of a dual redundant sump system, mechani-
cal /f_iltration socks, ph Controller, Titanium Heaters with controllers, auto replen-
ishment system, DC adjustable /f_low rate pump. Wave pumps on the aquarium
interior to ensure adequate water /f_low.
Lighting
Hybrid lighting system utilizing Kessil LED and t-5 HO lighting. All on auto
timers to simulate sunrise and sunset. Custom aluminum lighting cradle to raise
and lower the lights for access.
