8. B&G Superintendent Paul Van Treeck presented a capital project replacement plan for
2027-2031. Currently, the special projects line item is only funded at $72,000, however
the plan calls for $100,328 annually. When the funds fall short, we typically make the
difference during borrowing time. Discussion regarding location of projects/replacement
items. Paul reported the life cycle, current equipment status, and maintenance is
analyzed in hopes that items don’t break prior to replacement.
Paul reported the HHS Kitchen Cooler went out. The compressor unit is dated 2006, and
the bid for replacement was over $5,000 (not including labor). Paul received two quotes
to replace the full mechanical unit. Paul and Ron accepted a bid of $8,295 (not including
labor). HHS is currently using the food bank truck as a cooler. This item was on the 2028
replacement list. Will be installed by the end of the week.
Interest money that was earned on borrowing for maintenance, HWY, and tower project
went back to General Fund of $436,000. Paul requested the committee consider
approving the interest money to be used for capital replacement plan. Paul will bring the
item back for further discussion when the Administrator is present.
Paul gave a monthly report tied to the Strategic Plan. Highlights included benchmarking
and asset management, which has been done through Akita box since 2015,
infrastructure maintenance focusing on both proactive and reactive aspects of projects,
and modernization accomplished through new lighting upgrades at HHS and Highway
with LED lights. Buildings & Grounds also assist Parks & Rural Planning for community
parks and public spaces planning. Cross departmental collaboration is accomplished
through working with other departments and partnering with UW Extension and youth
groups. The committee consensus is to tie in strategic plan every 6 months (Jan and
July). This can be considered completed for the year. Work order summary discussed.
Include the category breakdown for work orders in the 6-month report.
9. At 11:27 a.m. meeting became available online.
10. Date/time options discussed. Property Committee will continue with the first Tuesday of
the month at 11:00 a.m. Paul reported he would like a joint HWY and Property
Committee meeting for July or August to discuss the Highway Shop, which is a Property
Committee issue. Paul will speak with Brian to work out details regarding a joint meeting.
11. The agenda having been completed Committee Chairperson Lance Achterberg declared
the meeting adjourned at 11:45 a.m.
